One for inbound leads from five channels
TL;DR: aiSTAFF collects points from five channels and phone into one inbox, tagged by source and reason, then maps each to your CRM or any system via webhook, so that Friday-night Instagram comment and Monday phone call are in the same sorted queue.
The Five App Problem
Georgian SMB owner with traffic on Facebook, Instagram, WhatsApp, Telegram and website, working on five inboxes. Each ping with a different graph. A user posts an Instagram account at 9pm, gets no response, and by morning the lead is gone because no one opened the app until lunch. Traffic is not a problem; Scattering is. aiSTAFF turns the scatter into a single row. Our automation service connects all channels in one place.
This matters more in Georgia than people realize because most of the conversations here happen in DMs and WhatsApp, not on a website contact form. A small team can't watch five channels at once without dropping something, and the dropped item is usually an anchor worth real money. The cost of one missed lead is in Cost of Missed WhatsApp Lead.
How pooling works
A single AI brain runs through all five channels simultaneously, so all conversations are already flowing through the same engine. When this brain captures a bullet, the bullet does not remain in the canal from which it came. It is included in the shared inbox, which the owner opens once, with a stamp on each entry, where it arrived (messenger thread, Instagram comment, WhatsApp chat) and why (price inquiry, call request, reservation). The owner reads the list, not the heap.
The same shared brain is the reason why the bullets from Telegram and the website widget look and behave the same. There is no separate bot to configure per platform, no per-channel gap in coverage. The architecture behind this is described in our article on how one brain serves five channels, and the drive input is the output side of this design.
tagged, sorted, never sorted
A raw dump of phone numbers is hard. aiSTAFF tags each lead so that the inbound arrives pre-sorted: the source channel, the reason the user raised, and the qualifier indicating the bot met during the conversation. A hot leader who asked for a call about a specific product is separated from an early browser who wanted a price. Your salesperson opens the queue and knows where to start. The qualification logic that produces these tags is to qualify relevant leads before they reach a human.
Since the bot continues to help after the number is taken, the inbox also carries the rest of the conversation. The seller sees what the customer has already asked and what the bot has answered, so the callback starts where the chat left off instead of a cold start. Deadlock behavior is described in the hub guide, aiSTAFF Lead Capture Automation.
Webhook: Any System
Some owners want leaders to live in aiSTAFF. Others already run a CRM, spreadsheet, or custom system and want to automatically land leads there. aiSTAFF supports both. All captured leads can be fired via webhook, a small automated message that delivers lead data to any tool you name the moment it's captured.
A webhook is simple plumbing: when a lead is captured, aiSTAFF sends its fields (name, phone, reason, source, conversation) to a URL you control. From there, your CRM creates a contact, your spreadsheet adds a row, or your own backend does whatever you build. No manual export, no copy-paste, no nightly reconciliation. A broader version of this, where the AI also keeps filling in your contact records, is Automated CRM Data Entry, and a side-by-side of CRM AI options is CRM AI Features Comparison for Small Business.
Worked example
Furniture store advertises. Over the weekend, comments and DMs pop up on Facebook and Instagram, a few WhatsApp messages come from the website, and two people call after closing time. The owner is offline most of the weekend. By Monday, aiSTAFF responded to all threads, capturing nine leads and recording each: four price questions, three delivery requests, two calls. All nine sit in one inbox, and since the store has a CRM, all nine will also appear there as new contacts via webhook, along with the product and reason. Monday morning work is no longer "check five apps and recover from the weekend." It's "open one line and call nine warm leads." Follow-up for quiet people is done with automated follow-up.
Comments also feeds the inbox
Public comments remain open. aiSTAFF automatically responds to Facebook and Instagram comments with a public reply, plus a private DM that opens a thread where a lead signal can be generated, and that post-lead goes into the same unified inbox as everything else. The path from comment to host is Facebook comment auto reply, and the throttle that keeps the voice safe is disable meta limits in reply.
Why does one inbox combine
The significance is not only that nothing is lost today. This is so that the owner can finally see the request form. Which channel generates the most traffic? what time which product Everything is in one tagged row, those answers are at a glance, and the owner can shift ad spend and staff time to what's working. Five scattered boxes hide this image; One inbox shows this.

FAQ
What is a webhook in simple terms?
This is an automated message that aiSTAFF sends to a URL you control at the time the lead is taken, carrying the lead data so your CRM or system can record it without manual steps.
Can I continue to use my existing CRM?
Yes. Leads can stay in your aiSTAFF inbox, flow into your CRM via webhook, or both, so you don't need to switch systems.
How to save the direct lead of different channels?
Each lead is tagged by source channel and lead reason, so leads arrive pre-sorted rather than a raw list of numbers.
Is the phone considered a channel here?
Yes. Calls made by the voice agent are recorded and appear in the same inbox along with the details of Messenger, Instagram, WhatsApp, Telegram and websites.
